SafetyForce Terms of Use
Effective date: 14 October 2026
Version: 1.0
1. About SafetyForce
SafetyForce is a digital Health & Safety management platform designed to support organisations in managing workplace safety, training, risk assessments, incidents and related compliance responsibilities.
The platform provides a centralised environment for authorised employees, managers and administrators to access relevant safety information, complete assigned activities and maintain appropriate records.
These Terms of Use govern access to and use of the SafetyForce platform.
These Terms do not constitute commercial subscription terms or replace any separate agreement with a participating organisation.
2. Authorised access
SafetyForce is intended for authorised users of participating organisations.
Users must access the platform using their assigned accounts and comply with applicable organisational policies.
Account credentials must not be shared.
Access may be modified, restricted or withdrawn where reasonably necessary for security or legitimate operational purposes.
3. Acceptable use
Users must:
- Use the platform only for authorised workplace activities.
- Provide accurate information when completing safety records.
- Follow applicable workplace safety procedures.
- Respect the confidentiality of personal and organisational information.
- Access only records they are authorised to view.
- Report suspected security issues or inappropriate access.
Users must not attempt to circumvent security controls, interfere with the platform or misuse another person's account.
4. Health and safety responsibilities
SafetyForce is designed to support workplace health and safety management, including training, risk assessments, incident reporting and compliance record-keeping.
It does not replace the legal responsibilities of employers, competent professional advice, workplace supervision, statutory reporting or emergency procedures.
Participating organisations remain responsible for managing their legal health and safety obligations.
5. Accuracy of records
Users should provide information accurately and in good faith.
Participating organisations remain responsible for reviewing, verifying and appropriately maintaining their workplace safety records.
A completion status displayed by the platform does not independently establish full statutory compliance.
6. Confidentiality and data protection
SafetyForce may contain confidential information, including employee details, incident reports, witness statements and health-related records.
Users must only access and disclose such information where authorised.
Personal information is handled in accordance with applicable data protection legislation and the SafetyForce Privacy Notice:
https://safetyforce.co.uk/privacy
7. Microsoft Teams and integrations
SafetyForce may provide functionality through Microsoft Teams and other authorised third-party integrations.
The availability of such functionality depends on applicable configurations, permissions and third-party services.
Notifications must not replace urgent workplace reporting or emergency procedures.
8. Availability
SafetyForce is undergoing ongoing development and testing.
Features may be updated, temporarily unavailable or subject to maintenance.
Participating organisations should maintain suitable alternative procedures for critical safety activities during any service interruption.
9. Intellectual property
SafetyForce is an independently developed software platform.
Access to the platform does not transfer ownership of the software, branding, source code or other underlying intellectual property.
Participating organisations and their authorised users may use the platform for approved purposes, subject to these Terms and any applicable separate agreement.
These Terms do not transfer ownership of underlying customer records.
10. Suspension and termination
Access may be suspended or terminated where it is no longer authorised or where reasonably necessary for operational or security reasons.
Ending access does not automatically require the deletion of records which the relevant organisation must lawfully retain.
11. Liability and statutory rights
Nothing in these Terms excludes or restricts liability that cannot lawfully be excluded or removes applicable statutory health and safety responsibilities.
These Terms do not override employment contracts, mandatory legal protections or statutory rights.
12. Governing law
These Terms are governed by the laws of England and Wales, subject to applicable mandatory legal protections.
